In light of this, the hotel shall create and update Risk Management Plans, (RMPs) which are to be used in the case of a variety of emergencies and/or disasters. Rationale: Workplace and environmental emergencies may threaten associates, guests, hotel/resort, and even the community. It is every hotel/resorts responsibility to minimise and manage all potential Risk. A plan of emergency can prevent or minimise injury and loss of life; reduce the threat of panic; reduce damage through containment; reduce liability and insurance claims and improve associate morale. Procedures A) Heat Team The hotel must establish a Heat Team comprising of senior executives and representatives from each critical department in the organisation including the General Manager, Executive Assistant Manger-Operations, Dir of Financial Management, Director of Technical Service & Special Projects, Director of Security/Manager, Director of Information Technology, Director of Rooms, Executive Chef, Executive Housekeeper, Dir of Marketing and Communication, Dir. of Sales, and Dir. of PIE. The team shall be responsible for establishing disaster recovery procedures and carrying out the necessary tests and rehearsals. It is the responsibility of the General Manager (or designate) to see that an emergency plan is created, Implemented, reviewed, and updated for the hotel/resort. The emergency plan must deal with all Emergencies that may occur at the hotel/resort. If the hotel/resort is located in a landlocked part of the Country, the plan obviously need not include procedures for tsunamis (tidal waves). At a minimum, Procedures should be developed for the following emergencies: Accident Management and First Aid (includes Heart Attack of Guest or Associates / Drowning at Pool) Assault Bomb Threat Death Elevator System Failure Electrical Supply Failure Building Automation System failure Telecommunication System failure Air conditioning System failure Water Supply Failure Fire Alarm System Failure Data Processing & Primary Property Management System Failure Fire Food poisoning Hazardous Material incidents Legal Exposure Riot Robbery Structural collapse Theft Weather hazards (Floods) The Standards following the covered standard are the essential elements of all the emergencies that must be in a hotel/resort emergency plan as part of its Risk Management Manual. Each one must be addressed specifically and individually for the environment that the hotel/resort operates within. In addition to government requirements, other desirable features of an emergency plan include a strategy for dealing with public relations and media coverage after the emergency. Another important consideration is the possible legal communications with the injured and with attorneys. Testing of Risk Management Plans On a monthly basis one risk scenario will be chosen by hotel Exco to be either simulated practically or in a training environment, subject to the following list: - Heart Attack of Guest or associates - Simulation Drowning at Pool - Simulation Electricity Supply Failure - Simulation Assault - Simulation Bomb Threat - Simulation Data Processing & Primary Property Management System Failure - Simulation Elevator System Failure - Simulation Death - Training, Review of RMP Building Automation System failure - Training, Review of RMP Telecommunication System failure - Training, Review of RMP Air conditioning System failure - Training, Review of RMP Water Supply Failure - Training, Review of RMP Fire Alarm System Failure - Training, Review of RMP Fire - Training, Review of RMP Food poisoning - Training, Review of RMP Hazardous Material incidents - Training, Review of RMP Legal Exposure - Training, Review of RMP Riot - Training, Review of RMP Robbery - Training, Review of RMP Structural collapse - Training, Review of RMP Theft - Training, Review of RMP ( Weather hazards (Floods) - Training, Review of RMP 2. The following will be mandatory: Major Fire Drill with evacuation ( Four per year Night Time Fire Drill ( Four per year A Risk Management Report (attached) or training record will be completed as appropriate with remedial action clearly stated and followed up.
